Defense procurement · Workflow

Five-stage procurement workflow for primes sourcing from Redoubt.

The five stages below — RFI, mutual NDA, sample and qualification, PO, and delivery with inspection — are the same walk the Defense Team runs on a first call with primes, DoD contracting offices, and federal integrators. Each stage carries the DFARS part-number equivalents, Berry-compliance cross-references, and lead-time guidance the procurement trail expects.

The workflow

Five stages from RFI to delivery.

Each stage below names the action, the artifact that travels with the program, and the Redoubt-specific callout primes should expect on the corresponding response or shipment. Stages run sequentially; the procurement vehicle and any DFARS clauses invoked on the contract determine whether stages compress on time-critical programs.

Stage 1 — RFI

Submit MFR PN / NSN, intended end use, target delivery window, and procurement vehicle through one of three intake channels: the DFARS quote form, the sample request form, or a direct line to the Defense Team for time-sensitive or classified programs.

MFR PN / NSN cross-reference preserved on intake.

Stage 2 — Mutual NDA

Our standard mutual NDA template is available on request and is built for a one-week turn-around once both parties mark up the schedule. Custom NDA terms are supported when the contractor’s legal team requires it; the cycle tracks the contractor’s redline plus our countersign.

DFARS part-number-equivalent scope language available on request.

Stage 3 — Sample & qualification

Sample cadence is alloy-dependent: CRES 2–4 weeks, titanium aerospace 4–6 weeks, specialty alloy 4–8 weeks. Each sample ships with a per-lot cert chain and a Berry-compliance cross-reference where applicable so engineering and QA teams can verify material grade, finish, and dimensional conformance on the shop floor.

Berry-compliance cross-reference documented on the per-sample cert chain.

Stage 4 — PO

NET-30 from invoice acceptance is the default for defense procurement accounts, subject to DCAA-compliant invoicing. Government Purchase Card (GPC / IMPACT) is accepted up to the micro-purchase threshold; wire and ACH routing are available for prime contractors and federal integrators.

Lot-coded CAGE shipments · DCAA-compliant invoicing.

Stage 5 — Delivery & inspection

Each shipment ships against a ship-to CAGE / NSN reference with packaging and the cert chain scheduled to the prime’s receiving window. In-process and final inspection schedules align with MIL-SPEC acceptance protocols; IUID tagging is supported on request.

What makes it different

What makes Redoubt's flow different.

Three commitments travel with every procurement walk-through — the documentation chain starts on intake, the compliance statements travel with the shipment, and the flow runs on an audited quality system.

DFARS part-number equivalents cross-referenced

Every quote response cross-references DFARS part-number equivalents on intake so the lot traceability chain starts with the right registration record and the right clause set.

Berry-compliance statement per cert chain

Berry-compliance statements are attached to each per-lot cert chain, not aggregated at the contract level, so the compliance trail travels with the shipment and survives audit.

AS9100D-aligned flow · ISO 9001:2015 quality system

Our procurement flow is AS9100D-aligned and runs on an ISO 9001:2015 quality system. The same flow supports stock DFARS catalog items and engineered specials without a separate procurement lane.

FAQ

Frequently asked questions.

Answers to the procurement questions the Defense Team hears most on first contact — intake channels, NDA turn-around, sample cadence, MOQ and lead-time confirmation, PO terms, and the delivery + inspection schedule.

Which channel should I use to submit an RFI?
Defense RFIs flow through three channels: the structured DFARS quote form at /dfars-fasteners#quote for RFIs that should produce a formal quote, the sample request form at /dfars-fasteners#sample when the next step is a material sample ahead of quote, and a direct line to the Defense Team for time-sensitive or classified programs. All three channels preserve MFR PN / NSN cross-references and intake into the same procurement queue.
How quickly can a mutual NDA be executed?
Our standard mutual NDA template is available on request and is built for a one-week turn-around once both parties mark up the schedule. A custom NDA is supported when the contractor’s legal team requires it; the turn-around tracks the contractor’s redline cycle plus our countersign.
What does sample and qualification look like per alloy?
Sample cadence is alloy-dependent. CRES (corrosion-resistant steel) sample qualification typically runs 2–4 weeks; titanium aerospace fastener sample qualification runs 4–6 weeks; specialty alloy qualification runs 4–8 weeks. Each sample ships with a per-lot cert chain and a Berry-compliance cross-reference where applicable.
When are MOQ and lead-time confirmed?
MOQ and lead-time are confirmed in the RFQ response for each program. Current best-guidance figures are 250 pieces typical for specialty bolts (CRES, alloy), 100 pieces typical for titanium aerospace fasteners, and 500 pieces typical for standard MIL-SPEC runs; lead-time for stock DFARS catalog items runs 2–4 weeks ARO, engineered specials run 8–12 weeks ARO. Both are confirmed at RFQ response.
What PO terms does Redoubt accept?
NET-30 from invoice acceptance is the default for defense procurement accounts, subject to DCAA-compliant invoicing and the contractor’s internal approval cycle. Government Purchase Card (GPC / IMPACT) is accepted up to the micro-purchase threshold. Wire and ACH routing are available for prime contractors and federal integrators; banking details are provided per contract with the issued PO.
How does delivery and inspection work?
Each shipment ships against a ship-to CAGE / NSN reference with packaging and the cert chain scheduled to the prime’s receiving window. In-process and final inspection schedules align with MIL-SPEC acceptance protocols; lot-coded CAGE shipments add approximately one week for packaging and cert chain assembly. IUID tagging is supported on request.
How is lot traceability preserved end to end?
Lot traceability runs from melt to delivery on every defense lot. Each per-lot cert chain captures melt source, processing, and finish history with CAGE-linked shipments so the production history of a given fastener is auditable from raw material through delivery. Cert retention is per-lot for the duration required by the underlying MIL-SPEC and any DFARS clauses invoked on the contract.
What is Redoubt’s current SAM.gov activation status?
Until our SAM.gov registration is active, Redoubt quotes ship under placeholder identifiers (marked "pending SAM.gov activation"). Send a note via the Contact our Defense Team form to confirm identifiers on the first formal RFQ response; we confirm on intake so the lot traceability chain starts with the right registration record.
